Someone just asked ChatGPT where to host their event. Did your venue come up?
A meeting (or venue) planner searching for a 150-person venue in Antwerp used to open six browser tabs. Now they open one chat window and type a sentence: "Find me a venue in Antwerp for a 150-person product launch with catering and parking." Whatever gets listed back is the shortlist. If your venue isn't in it, the enquiry never reaches your inbox. It's not because you weren't a fit, but because the AI couldn't tell.
ChatGPT alone is closing in on a billion weekly users. That's not a future trend to plan around later; it's already how a growing share of your prospects start looking.
Discovery moved from browsing to asking and that changes what "visibility" means
For years, a venue's website did the persuading: photography, atmosphere, a gallery that let someone imagine their event in the space. That's still true for a human visitor. It's not how an AI system reads your site.
An LLM answering "where should I host this" isn't forming an impression it's running a feasibility check. It compares the organiser's requirements against a set of explicit attributes: capacity per layout, supported event types, catering model, parking, breakout rooms, booking conditions. If those attributes aren't stated plainly somewhere the AI can parse, your venue doesn't get filtered out for being unsuitable, it gets filtered out for being unreadable. Those are very different problems, and only one of them is fixable in an afternoon.
The gap isn't your marketing. It's your structure.
Most venue sites are still built to inspire, not to be queried. "Perfect for events up to 500 guests" reads fine to a person, who fills in the rest from context; a photo of a seated conference, a gallery of weddings. An AI system doesn't fill in that gap. It needs to know: 500 guests in which layout? Which event types is this space actually designed for? Is catering in-house, through a partner, or does the organiser bring their own?
None of this requires new software. Most venue teams already know the answers and the information just lives in a brochure, a floorplan PDF or someone's head, rather than on a page an AI can read.
What actually makes a venue AI-readable
Three things, in order of leverage:
Explicit attributes, not implied ones. Event types named directly (conferences, product launches, private dinners, networking receptions). Capacity broken out per configuration (theatre, banquet, reception, classroom) rather than one headline number. Facilities such as parking, AV, breakout rooms and accessibility listed on the page itself rather than buried in a PDF.
Spaces documented individually. Each room or area named, sized, and described on its own, including whether spaces combine or split. Not folded into one general "about our venue" paragraph.
Machine readable structure underneath it. A logical site structure, an XML sitemap, structured data (JSON-LD) that identifies your venue, spaces and facilities as entities, and FAQ content that actually answers distinct operational questions instead of repeating the same paragraph under five headings.
Getting found is only half the operational problem
Say the structure work pays off and enquiries start arriving with more context. That's a win. It also immediately creates the next bottleneck. A single "simple" enquiry (dates, guest count, layout, catering, budget, documentation) is really eight separate questions a venue team has to check before they can respond with confidence. More inbound volume without a way to capture and qualify it faster just moves the backlog. It doesn't remove it.

FAQ
Do I need new software to become AI-ready?
No. In almost every case the information already exists inside the venue team: capacities, layouts, facilities, booking conditions. The work is restructuring how it's presented, not buying a new system.
Does this replace my website?
No. Humans still browse, and still respond to atmosphere and story. AI readiness is an additional layer for how automated systems evaluate suitability. It sits alongside your existing site, not instead of it.
What's the fastest thing to fix first?
Capacity per layout, usually. "Up to 500 guests" without a breakdown by theatre, banquet, or reception setup is the single most common gap, and the easiest one to close in a page edit.
